Processing a change request is simple and fast!

 

Change Request Summary

 

Complete change requests online through January 16, 2021—Cutoff times vary, view them under each change request type.

 

Without RaceLookup Protect, race entries are:

  • Non-refundable and non-transferable into the next year’s event regardless of the reason.
  • Transferable to another person or the virtual option with a $15 processing fee.
  • Transferable to a new race category (distance) without a processing fee.
  • Updatable without a processing fee—correcting a misspelling, incorrect birthdate or gender, changing an emergency contact or address, or other inaccurate personal information.

With RaceLookup Protect, when active, race entries are:

  • Fully or partially refundable depending on the plan—with refunds made to the payment method used during the initial registration.
  • Transferable into the next year’s event, to another person, the virtual option, or another race category (distance) without a processing fee.
  • Updatable without a processing fee—correcting a misspelling, incorrect birthdate or gender, changing an emergency contact or address, or other inaccurate personal information.

With or without RaceLookup Protect, virtual race entries are:

  • Non-refundable and non-transferable into the next year’s virtual option regardless of the reason.
  • Non-transferable to another person or the physical event.
  • Transferable to a new race category (distance) without a processing fee—transferring into a new race category does not require a change request and can be accomplished by selecting the new race category (distance) when submitting virtual race results. 
  • Updatable without a processing fee—correcting a misspelling, incorrect birthdate, gender, or address, or other inaccurate personal information.

Change Request Options

(available to all participants with or without an active RaceLookup Protect protection plan optionally purchased with the participant’s race entry)

Transfer to another race category

This change request must be complete at least 15 minutes before the planned start time of the race. Go to the times listed on the location and times page to determine the start time.

This change can also be completed onsite during pre-packet pickup and onsite registration or on race day during packet pickup and onsite registration—view packet pickup for the time and location of the pre-packet pickup. On race day, make sure to do this during the new race category’s packet pickup.

When receiving a bib before submitting a race entry transfer to another race category, plan to return it on race day during packet pickup. You will not be given the new bib without its return.

There is no processing fee to update a race entry to another race category. There is a cost equal to the difference between the full price of both race entries when moving into a more expensive race category. No refund is issued when moving into a less expensive race category. View the race entry pricing schedule at the bottom of the registration page to view race entry pricing.

You may not participate in any race category where you are not registered. Instead, transfer into the correct race. Doing so will prevent your disqualification and the temporary impact it causes to all other participants in the race until disqualified.

Transfer to the virtual option

This change request must be complete before the planned start time of the race. Go to the times listed on the location and times page to determine the start time.

This change can also be completed onsite during pre-packet pickup and onsite registration or on race day during packet pickup and onsite registration—view packet pickup for the location and time of the pre-packet pickup.

When completing this request onsite on race day, it must be completed 15 minutes before the race’s planned start time.

There is a $15 processing fee to transfer a race entry to the virtual option unless an optional RaceLookup Protect protection plan was purchased and is active.

  • To determine whether an optional protection plan was purchased, go to the participant registration confirmation email sent by support@racelookup.com. It will indicate the plan level bought and, if not, will show “Opted Out.”
  • If a protection plan was purchased, locate the email, sent separately of the registration confirmation by support@racelookup.com, containing the protection plan number. You will need this number to waive the processing fee and complete the transfer request.
  • If you are unable to find the email containing your protection plan number, contact us before the planned start of the race and request it. Also, indicate you want to complete a change request to transfer your race entry to the virtual option.
  • Upon completing the race entry transfer to the virtual option, the protection plan inactivates, cancels, and terminates and is no longer unusable.

Go to the participant registration confirmation email sent by support@racelookup.com and validate your mailing address. We will use this address to mail your virtual race packet. If the address is wrong, make sure to simultaneously submit the race entry update personal information to update and correct it. There is a $25 processing fee to remail a new race packet and a $15 processing fee to remail a returned race packet with or without a protection plan. When needing to send a new race packet, there is no guarantee that items will still be available.

Transfer to another person

Both change requests (step 1 and 2) must be complete at least 15 minutes before the planned start time of the race. It does not matter which request is processed first. Go to the times listed on the location and times page to determine the start time.

This change (Step 1, 2, or both) can also be completed onsite during pre-packet pickup and onsite registration or on race day during packet pickup and onsite registration—view packet pickup for the time and location of the pre-packet pickup. Step 1 requires the original race entry holder to be present. Step 2 requires the new race entry holder to be present.

When the original participant receives a bib before submitting a race entry transfer to another person, plan to return it on race day to receive the new bib. The original or new participant can return it.

There is a $15 processing fee to transfer a race entry to another person (step 1) unless an optional RaceLookup Protect protection plan was purchased and is active. There is no processing fee to update a race entry to another person (step 2.)

No one may participate in any race category using someone else’s information. Instead, transfer and update the original race entry to the new participant. Doing so will prevent the new participant’s disqualification and the temporary impact it causes to all other participants.

Step 1 (original participant) – Use the race entry transfer to another person to transfer your race entry to someone else. The race entry will not be updated to the new participant until step 1 is complete.

Step 2 (new participant) – Use the race entry update to another person to update your personal information before participating. You may complete this step in advance of step 1. However, the race entry will not be updated, and your race packet will not be given to you until step 1 is complete.

Update personal information

Complete this change request at any time; there is no processing fee to update personal information.

This change can also be completed onsite during pre-packet pickup and onsite registration or on race day during packet pickup and onsite registration—view packet pickup for the locations and times. After race day packet pickup, request changes at the timing station near the finish line or online with the race entry update personal information.

Make sure your information is accurate.

  • Always take steps to transfer your race entry to a new category or another person when needed, or when something changes like your emergency contact or mailing address.
  • Always validate the information in your registration confirmation email and on the results monitors or online immediately upon completing the race paying particular attention to gender, birthdate, age group division, and the spelling of your name.

If you need help with your race result and it is after the start of the awards ceremony, contact us, indicate the discrepancy, and request review.

RaceLookup Protect Exclusive Change Request Options

(requires an active RaceLookup Protect protection plan optionally purchased with the participant’s race entry)

Cancel and request a deferral to next year’s event

This change request, to be accepted, must be completed online, requires an optional RaceLookup Protect protection plan that is active, and must be complete before the planned start time of the race. Go to times listed on the location and times page to determine the start time. The deferral will not be honored unless all three of these conditions are met. Upon completing the race entry cancel and request a deferral to next year’s event, the protection plan inactivates, cancels, terminates, and is no longer usable.

To determine whether an optional protection plan was purchased, go to the participant registration confirmation email sent by support@racelookup.com. It will indicate the plan level bought and, if not, will show “Opted Out.”

If a protection plan was purchased, locate the email, sent separately of the registration confirmation by support@racelookup.com, containing the protection plan number. You will need this number to complete the request.

If you are unable to find the email containing your protection plan number, contact us before the planned start of the race and request it. Also, indicate you want to complete a change request to defer to next year’s event.

After deferring a race entry, if the following year’s event is canceled, we will automatically cancel your race entry and issue a refund with 15 business days to the original form of payment based on the provisions of the plan that was in force at the time the deferral was request was made.

RaceLookup does not charge any additional fees or taxes to register and purchase a race entry. The protection plan only covers the actual cost of the race entry fee purchased and paid for in the participant registration, which may not match the full price of the race entry due to discounts that may have been received with early registration pricing, a promotion, or both. It also may differ based on the provisions of the specific protection plan selected.

The protection plan does not cover gifts you receive from us as a participant like race shirts, medals, and promotional items, or optional donations, or apparel or other optional items you may have purchased during the registration. It only covers the race entry to the extent of the provisions of the protection plan selected.

If you would like to receive gifts from us, you will have an option to request this as a part of canceling your race entry.  A flat fee will be charged to cover the cost of shipping and handling associated with sending a race shirt, finisher medal or both to you by mail.  If the race shirt size requested in the participant registration is available, it will be sent. If a finisher medal is available, it will be sent.  You will be notified by email when a race shirt, finisher medal, or both have mailed to the participant address in the registration. The email will also contain the tracking number for the shipment. If neither gift is available, we will automatically issue a refund for the shipping and handling that was paid to receive a gift from us. It also will be refunded to you if apparel or other optional items were purchased . 

As a part of canceling the race entry, if apparel or other optional items were purchased in the participant’s registration, you will be notified by email when those items ship to the participant address as indicated in the race entry.  The email will also contain the tracking number for the shipment. Go to the participant registration confirmation email sent by support@racelookup.com and validate your mailing address. We will use this address to mail any apparel or optional items purchased. If the address is wrong, make sure to simultaneously submit the race entry update personal information to update and correct it. There is a $15 processing fee to remail returned items and a $15 processing fee plus the cost of the items to remail items not returned. When needing to send a new apparel or other optional items, there also is no guarantee that new items will be available. 

Cancel and request a refund

This change request, to be accepted, must be completed online, requires an optional RaceLookup Protect protection plan that is active, and must be completed before the planned start time of the race. Go to times listed on the location and times page to determine the start time. The refund will not be honored unless all three of these conditions are met. If all three conditions are met, the refund for the race entry will be made within 15 business days to the original form of payment based on the provisions of the plan selected. Upon completing the race entry cancel and request a refund, the protection plan inactivates, cancels, terminates and is no longer usable.
